Congratulations on qualifying for the 2024 ASCE Civil Engineering Student Championships! On behalf of the Brigham Young University (BYU) Planning Committee, I would like to extend warm congratulations on making it thus far.
We are planning a exciting itinerary for you, filled with competition madness, technical events, social activities, and much more. We hope you enjoy your time at BYU, and are thrilled to have you here.

Please note that this mailer contains limited information about competition specifics. Mailer 2 will be released in early June with greater specifics about the Championships, including building maps, competition specifics, and more. This mailer is to provide Team Captains and Faculty Advisers necessary information to complete registration and transportation plans.

Registration Information
Participant Registration is due Friday, June 7th, with payment due by Thursday, June 13th. Please use the this link to complete individual registration. The following describes the different registration options and their prices:
Full Registration and Banquet (Wednesday Arrival) - $275. Includes full registration for the Championships. Designed for Concrete Canoe and Surveying Competitors, and may be utilized by Sustainable Solution Competitors if they so choose. There will be captains meetings for Concrete Canoe and Surveying Wednesday Evening at 8:15 PM MDT.
Two-Day Registration and Banquet (Thursday Arrival) - $250. Includes all meals and registration with the exclusion of Wednesday night Social Events and Thursday Breakfast and Lunch. Designed for Sustainable Solution Competitors.
Waiver Link
To compete at the Championships, each participant must complete a waiver. Teams will not be allowed to check-in until all team members have completed the waiver. Please complete the waiver before you arrive at BYU. The waiver is available in individual registration and at the following link.

Accommodations Notice
If you have any physical limitations or would like to request language assistance (ASL, etc.) , please notify us at least 30 days before the competition (May 20th). If we receive notice after May 20th, we cannot guarantee accommodations.
Hotel Block Reservation Deadline
During the summer, BYU is a very lively campus, hosting thousands of youth per week in various religious, sports and academic camps. These events use most of the on-campus housing during the summer. However, we have secured a hotel block with the Provo Marriott Hotel and Conference Center at a competitive price of $155 per night.

The hotel block closes on May 27th and anyone not able to get a room will need to find other accommodations.
You can use this link to access the hotel block.The same link was also provided to you with the notice of acceptance to the Championships and in the championship registration. These rooms are first come, first serve, so act now to get your spot!
Please note that breakfast is not included in the hotel reservation, but will be provided each day of the competition at the various event locations. The hotel does provide free Wi-Fi, a fitness center and on-site parking (no trailers).
Presentation Submission
To better streamline competition presentations, please submit your presentation here before you arrive at BYU. Concrete Canoe Teams are required to submit their presentations and will have up to 10 minutes during their AV check to verify functionality.
Surveying and Sustainable Solution Team presentation submission is required to ensure competition flow.
Please submit your presentations in .pptx file format in an effort to better streamline the process. The submission form will not accept other formats. Please be cautious with videos in your presentations as functionality may vary. To check if your presentation will work, we recommend downloading your presentation to a computer other than the one you made it on and testing it.
A list of submitted files will be sent to team captains for verification of submittal on June 11th and June 18th. If team captains have questions or concerns about their submittal, please let us know. Teams are allowed to have multiple submissions, but only the most recent submission will be available during the competition. Teams may also bring their presentation on a flash drive if there are concerns, but must indicate so on their presentation submission.
Please note that the submission of the presentation here does not satisfy any competition requirements. Teams are responsible for being familiar with the rules of their respective competitions and ensuring that reports and other submissions are complete with ASCE. Reading Check: include the name “Cosmo” in your mailer receipt survey response under “Additional Comments” for a chance to win your team a cool prize at the Welcome Address and Dinner.
Preliminary Schedule
Included below is the preliminary schedule for the Championships with locations corresponding to Figure 1. All locations and times are subject to change.
Surveying Competition teams: Please note that all team members are required to wear close-toed shoes and either a safety vest or high visibility shirt (construction or high visibility yellow, orange, pink, blue, red, or green) while completing the Field Tasks portion of the competition.
Concrete Canoe Teams: Please note that all paddlers are required to wear a US Coast Guard-approved inherently buoyant (no inflatables) Type I, II or III Personal Flotation Device (life jacket) while in a canoe during competition per ASCE regulations. Additionally, scales will be provided to weigh unbroken concrete cylinders during canoe weigh-in.

Transportation
For teams flying to Provo Airport, no transportation to or from the airport will be provided. Transit lines are available, but teams are recommended to pursue Lyft or Uber services if not procuring a rental vehicle.
For teams flying into Salt Lake City International Airport, a transit line is available and can provide access to both BYU Campus and the Provo Marriott hotel. Transportation from the Provo Marriott Hotel to the Team Check-in at the West Campus lot can be provided if requested by June 1st for those not procuring rental vehicles.
Due to restricted parking on BYU Campus and Utah Lake State Park, shuttles and alternate transportation measures will be provided. The Utah Valley Express (UVX) bus rapid transit is a free transit option with 5-to-10 minute headways. There is a stop within 1 block of the hotel (Center Street Stations) and both primary locations on BYU Campus (BYU North and South Stations) and is the recommended method to arrive to BYU campus on Thursday, June 20th. Figure 2 shows the different UVX stops and the locations of competition venues.

Those attending Captains meetings in the BYU Engineering Building on Wednesday, June 19th may travel using the UVX or personal vehicles, as parking opens to the public after business hours. Please refer to specific signage for different parking lots as enforcement times differ. Recommendations will be made on where to park in future communications.
A shuttle will be provided on Thursday, June 20th to transport truck and van drivers from the Engineering Building to the trailer parking in the West Campus Parking Lot during canoe drop-off and pick-up.
A shuttle will also be provided on Race Day between Utah Lake State Park and the Provo Marriott Hotel. One parking pass will be provided to each Concrete Canoe team at check-in for their truck and trailer to access the park. All other participants are expected to use the shuttle or pay separately for parking ($20 per vehicle, $5 per walk-in).
The shuttle will run frequently from 6 AM- 8 AM and from 3 PM - 4:30 PM with reduced service from 8 AM - 3 PM to provide continuous access between the park and hotel. Shuttles will also be provided for the Sustainable Solutions Technical Tour and Surveying Technical Event from Utah Lake State Park.
Campus parking is open to the public on Saturday, June 22nd and participants are free to travel to campus as they choose. The UVX will be running and is a great option to get to campus. Trailers will be expected to stay at the West Campus Parking Lot until teams leave Provo.
BYU Campus Police maintains campus security across BYU campus through police patrol and security cameras, including the West Campus parking lot, but no additional security will be provided. Teams are encouraged to lock trailer doors and hitches to maintain vehicle and trailer security.
Shipping Competition Materials
Surveying Competition Teams will hand deliver two copies of their topographic maps to satisfy Task 1A during Check-In & Registration on June 19th in lieu of mailing them to BYU.
If you are shipping your canoe or other related materials to BYU, refer to the following.
Shipping canoes includes an inherent risk. Using “Fragile” stickers and liberal packing practices may help limit, but not eliminate the risk of damage or canoe fractures. Teams assume risk of damage, including fracture when shipping materials and BYU rejects any claim of liability, except in cases of extreme negligence.
Teams will be responsible for coordinating and paying for the shipping of canoes to and from BYU. We will have limited tool availability, so please bring whatever tools you need to unpack your canoes. Teams should also consider shipping their canoe cart, stand, and other pieces of equipment, or make plans to acquire those upon arrival in Utah.
To ensure we have space prepared for your canoe, please notify Clayton Harrison and us by Friday, May 17th, if you plan on shipping your canoe or other materials. Please include the dimensions and weight of your crate, the expected arrival date with the tracking number, and the name of the postal service used.

In the notes or under contact person, list Clayton Harrison, clayton_harrison@byu.edu 801-426-7644. Clayton has also offered to send pictures of the crates upon receipt if requested. Canoes will be stored long-term upon receipt in a climate-controlled indoor lab or a similar facility. Additionally, efforts will be made to minimize movement of canoes upon receipt to BYU. We will have limited tool availability so please bring whatever tools you need to unpack your canoes.
Once your team arrives in Utah, you are responsible for renting a U-Haul (or similar) truck. On Thursday, June 20th, your team will collect and unpack your canoe. Given the Juneteenth holiday on Wednesday, June 19th, teams cannot get their canoes before, during or after registration check-in.
Teams shipping their canoes will be given a later canoe display drop off-time and will be able to pick up their canoes starting at 6 AM on the 20th. Once canoes are returned to your team, we are no longer responsible for storing or transporting your canoe.
If repairs must be made to the canoe, teams must provide their own materials. Disposal of canoe may be provided upon prior notice upon shipping. This may incur an additional fee.
Teams will be responsible for coordinating the reshipping of your canoes. Please contact James Thompson james_thompson@byu.edu for specifics about payment and logistics. To ensure shipment of your canoe, we ask that a team member stays in town until the canoe ships (likely until the afternoon of Monday, June 24th), as we may not be able to assist. If this is a concern, please let us know.
